In my ongoing series on customizing QuickBooks, I will cover in this blog post how to customize invoice in QuickBooks Online.

First, access the sales settings by clicking on the Gear Icon on the upper right.

Instead of talking about how to import invoices into Quickbooks Enterprise, here is the easy step for the standard options. After launching your QuickBooks, go to the file menu and click on 'utilities' then choose Import. From the import drop-down menu, select excel files and click on no when asked to add or edit multiple entries. QuickBooks Online Bill Setup & Management. 2. Choose whether you will customize an invoice, estimate, or sales receipt

3. Select the form styles from:

  • Airy
  • Modern
  • Fresh
  • Friendly
  • Bold

4. Click on the pencil icon to name your form

5. Click on the logo field to upload your logo

6. Click on the colors to update the colors on your form

Click Save when you're done with this section.

Customize the appearance of invoices in QBO

1. Click on Appearance on the menu on the left.

2. The Customize form style will open. Make the appropriate selections to:

  • Crop, resize, and align your logo
  • Select the placement of your logo on the invoice
  • Select the font and line height
  • Change page margins
  • Make printing selections
  • Whether to show a customer 'Account Summary' at the bottom of each invoice

Click Save when you're done with this section.

1. Click on Header on the menu on the left.

Customize the details of products or services on your invoices

To customize the details of the products/services that you see on your invoices, you should customize the Activity Table. This would include item codes and descriptions, quantity, rate, amounts.

You'll also be able to customize the column widths and the order in which the columns should show on the invoice.

For professional services invoices, you can also indicate whether you want to group activities together – such as staff working on the same service/activity code, whether to show markup on billable expenses, and whether you want to include details for billable time, such as including employee name, and including hours and rate.

I recommend that you play around with the customization until you find the format that you want. Remember to preview the invoice by clicking on Preview or Print on the bottom right hand corner.

Select Activity Table from the left to open these preferences. Make selections as needed.

Add message to customers on the invoice

You can add a message to your customers thanking them for their business, wishing them Happy Holidays, requesting referrals, etc.

There are two fields: a message to customers, and a footer.

Select Footer from the left to open the window.

The Message to Customer prints at the bottom left of the Activity Table.

The Footer prints at the very bottom on the invoice.

Click Save when you're done with this section.

Click on the X on the upper left to close the window when you are done.

How to connect

  1. On the My pipelines page, click Create a pipeline.
  2. On the right side of the page, choose All to list all available channels.
  3. Expand QuickBooks Online in the list of channels on the right side of the page and click Connect to QuickBooks Online.
  4. You now have the option to connect to a sandbox company in order to run pipelines against these test environments. In the pop-up window, you now have the optionto connect using sandbox companies allowing you to run your pipeline(s) against a test environment. Select the checkbox and select a company to connect click on Connect to QuickBooks Online.
  5. Enter your credentials and click Sign In.
  6. Follow the QuickBooks Online screens and fill out the required information, then click Connect. You will be brought back to Pipelines with categories expanded for the Quickbooks Online channel.

How to reconnect the QuickBooks Online channel

You may need to reconnect your account to a channel. Reasons may be (but not limited to):

  • If you need to connect a different account.

  • Authorization updates, such as a changed password.

  • Editing the access rights that Pipelines has to the channel.

To reconnect:

  1. Select a pipeline that already has QuickBooks Online in it.
  2. Open a step containing QuickBooks Online.
  3. Under account, select Connect (or reconnect) and follow the process above, How to connect.

How to use QuickBooks Online Projects in a pipeline

Turn on the Projects feature in QuickBooks Online system:

  1. Select Settings, then select Account and Settings
  2. Go to the Advanced tab.
  3. Find the Projects section and select Edit to expand it.
  4. Switch on the Projects toggle.
  5. Select Save and close your settings.

Create a project:

  1. Select the Projects menu then select Project.
  2. Give your project a memorable name, i.e: Application Development.
  3. Select the customer you are working for from the drop-down menu and add any notes or details about the project.
  4. Click Save.

Track income and expenses example:

  1. In Pipelines, go to QuickBooks Online channel and from the Expenses category drag the Create Expense action onto the pipeline builder.
  2. Populate the required fields and in the Category details section. In the Customer or Project dropdown, select the project you created in the previous steps.
  3. Run the pipeline.

Go into your project dashboard in QuickBooks Online and you should notice that COSTS are increased with the Amount value. You can also track invoices, bills, time activities for projects in a similar way by selecting your project from the customer or project dropdown.
